And when you need a decision, because the estimate does not cover it or a part has to be replaced, you ask the question on the job itself. The customer gets it on their phone and answers with one click. No phone call, no three attempts to reach them, and the answer sits on the job instead of on a note.

In the morning, you know how the day will run.
The day view shows every job with its state: taken in, in progress, done, ready for pickup. You see at a glance what is still open, and which jobs are not moving because an approval is missing.
You distribute jobs across your mechanics, flag urgent ones as priority, and when something comes up you move an appointment in a few seconds.
Intake, work and pickup are planned in one system. So you can see how full a day is before you commit to it.

Veloworx did not come out of a conference room, it came out of our own bike workshop. We had the same problems you do, found no software that solved them, and built it ourselves. We have been using it there every day for two years.
Our shop is bigger than the workshops we build for. That is deliberate: what holds up with 17 people also holds when you grow. And what would be too complicated for three people gets cut before it is ever built in.
